How to keep an inventory of an art collection?

To ensure that a collection is preserved correctly, it is strongly recommended to keep an inventory or reference list that is as detailed as possible and to start doing so as soon as you acquire your first work. The best option is to use the inventory system for public collections, which suggests filling in 16 pieces of information and printing this out. This document should be kept in several formats (paper, digital) and in several places (computer, bank, etc).

The 16 requirements are: Number (if you own more than one artwork) – Acquisition method (gift, bequest, or purchase) – Identity of the donor, testator, or seller – Acquisition date – Price – Date of inclusion in the inventory – Full description (content and form) – Material(s) – Technique – Size – Author – Creation date – Origin – Number in the artist's catalogue raisonné (if one exists) – Distinctive characteristics – Comments
